Elicit program requirements or map an existing process?
A team selecting a new volunteer-management tool needs to clarify roles, needs, and desired outcomes. A team improving an existing onboarding process needs to understand the steps already used, including handoffs and exceptions. These are different starting points. Choose the course that helps staff gather the right evidence before asking AI to recommend a solution or redesign.

02For an existing process, map reality
03Test a small, representative case
Editorial decision aid: the steps describe choosing training, not a promised course exercise.
How to choose
For a new need, ask structured questions
Requirements prompts can help define purpose, users, constraints, and what success should look like. Identify which people must be consulted and distinguish stated preferences from required policy, accessibility, or security conditions. Do not treat generated recommendations as a substitute for staff and community input.
For an existing process, map reality
Process mapping should identify steps, roles, inputs, outputs, wait points, and exceptions. Observe the work or validate the map with people who do it. A neat AI-generated diagram is not evidence that the process description is complete or that proposed changes will work.
Test a small, representative case
Choose a real but low-risk task and compare the generated question list or process map with staff notes. Confirm that terminology and role boundaries match your organization, then use the result to decide what further discovery or workflow changes are warranted.
Fictional nonprofit example
Fictional scenario: a disability-services nonprofit is choosing a volunteer platform while separately trying to shorten its existing orientation process. Staff use role and purpose prompts to form platform requirements, then map actual onboarding handoffs with volunteers before proposing changes.
Before you enroll
Is there a new service need to define or an existing workflow to improve?
Which roles, constraints, and required outcomes must be represented?
Will staff and affected participants validate the generated requirements or map?
Does the course produce a question set, a process map, or both?
Use requirements instruction to frame a new need and process mapping to understand current work. Validate both with the people who perform or receive the service.

Introduce ChatGPT privacy and synthetic inputs, then apply it to elicitation, market/data/process analysis, risk, training and requirements testing. A public SOP example gathers existing documents, identifies steps and responsibilities, validates with stakeholders, selects KPIs and prioritizes implementation monitoring.
